1. Define a supplier document checklist
Create one requirement for each document you need, such as a business licence, an ISO 9001 certificate or a product test report. State the supplier entity, document scope, language and submission deadline. An expiry tracker cannot decide which certificates your business must legally collect.

Use the general, food or textile checklist as a starting point, not a universal compliance standard. For a bilingual supplier questionnaire, keep the Chinese and English requirements together so a correction refers to the same item.

2. Record certificate dates without inventing them
Read the expiry date printed on the certificate and enter it manually. Leave the date blank if none is stated; blank means no date recorded, not valid forever. Do not assume every ISO certificate or test report has the same renewal cycle. A submission deadline is separate from a certificate expiry date.
手动填写证书标注的到期日。未标注则留空；留空表示未登记日期，不表示永久有效。不要假定所有ISO证书或检测报告都有相同续期周期。资料提交截止日与证书到期日是两回事。
In this demo, a date before today is expired. Today through 30 days from today is expiring soon; later dates are valid by date only. These are calendar-day calculations when the page is opened, not a background monitoring or authenticity check.

3. Review the submitted version, not a draft
A supplier may save edits without sending them. Alice reviews the last formal submission; drafts do not silently replace it. Approve an acceptable sample or return a specific requirement with a correction. Unchanged approved items stay approved when other items are resubmitted.
供应商可以保存修改而不立即提交。Alice审核最后正式提交版本，草稿不会静默替换该版本。可批准合适的示例，或逐项退回并说明修改要求；重交其他项目时，未修改的已批准项保留状态。
Example correction: “The certificate has expired. Please provide the current version and check its expiry date.” Replace the returned sample, check the new date and formally resubmit. Clicking submit without correcting a returned item does not clear the return.

4. Export a review report and understand its limits
Export CSV from the selected request to keep document names, expiry dates, review decisions, feedback and submission versions together. CSV can be opened in spreadsheet software; it is not an XLSX workbook. Print / Save PDF opens the browser print flow, where PDF availability depends on the browser.

A review report is not an audit certification or proof of compliance. Before using real supplier documents, a production service needs secure storage, account permissions, backups and an agreed retention policy. None of those file-hosting capabilities are provided by this local demo.

5. Compare a spreadsheet alternative honestly
A structured checklist can make missing items and review steps easier to inspect than scattered rows. Test that claim with your own task: create a request, submit an incomplete sample, return it and verify the exported result. No time-saving percentage or completion-time guarantee has been measured for SupplierFlow.

For automatic vendor expiry reminders at 30, 60 or 90 days, verify the actual notification service, delivery channel and schedule of any product you evaluate. SupplierFlow currently shows on-page 30-day expiry flags only and sends no email. It does not provide certificate-of-insurance coverage or endorsement validation.
